Getting Started with RaeNotes

RaeNotes is designed to help coaches and assessors easily transcribe, review, and assess coaching sessions using ICF competencies and AI-powered tools. Follow the steps below to go from recording → transcript → tags → export.

Step-by-step guide

Create an account

Pick the competency model you'll use most often. You can change it later. For students and mentors, use the account type 'Mentor coaching'. Set your default competency model now—changing it later is easy.

Upload Your Recording

You can upload Audio or Video files, or a trancript file with or without audio or video.

👉Before uploading: Make sure audio and video are present when you open the file on your computer. Cut the video if needed before uploading to RaeNotes. Only files you own or can legally download (e.g., from Zoom) should be uploaded. You can also select the language (e.g., English, Italian or other) during this step.

Use AI Transcription (Recommended)

During upload, you’ll be asked to choose how you want to transcribe the file:

  • AI transcription (fast, ready in minutes)
  • Human transcription (more expensive, takes 3 hours, up to 1 business day)

AI transcription is the easiest and most cost-effective option:

  • Ready in 3–5 minutes
  • Costs $0.15 per minute
  • Supports multiple languages

Upload an External Transcript (Optional)

If you already have a transcript, you can upload it with or without the audio for a $4 fee per file. It must follow a strict format to be uploaded successfully. Each paragraph must include: a speaker name, a timestamp, and text without extra line breaks or special symbols.

Review & Navigate the Transcription

Once transcribed, you can:

  • Edit text manually if needed
  • Rename and filter speakers using the colored labels above the transcription

Tag Competencies & Markers

As you review the transcript, you can tag:

  • ICF competencies
  • ICF markers
  • Custom markers

These tags are collected automatically in the Outcomes tab for easy review.

Use AI Assessment (Optional)

You can run an AI Assessment for any recording:

  • Click the AI Assessment button at the top of the transcription
  • The AI summarizes strengths, development areas, and patterns

If you run the AI assessment twice, it’s best to create a clean copy of the file and run the second AI assessment on the copy.

⚠️ Reminder: AI assessment is meant to support, not replace, a certified coach’s judgment.

Export Your Work

Once your recording is transcribed and reviewed, you can export your work as a Word (.doc) file. This is useful for submitting assessments, or keeping records offline.

You can export:

  • The full transcription
  • The assessment form with tagged competencies and markers
  • AI assessment results (depending on your plan)

Exported documents reflect the competency model selected for that file (e.g., PCC, MCC, ACC).

Share Your Session

You can share your session with your mentor coach or student to review and provide feedback. You will share the recording, the full transcription, your comments and tags, and AI assessment results.

🔒 Sharing note: If a file was transcribed using free trial minutes, you’ll be asked to cover the transcription cost before sharing. This helps prevent uncontrolled distribution of content.

Plans & Credits (Quick Overview)

  • Free trial: 90 minutes, 1 file (sharing requires covering transcription cost)
  • Basic plan: Pay per transcription
  • PRO plan:
    • Monthly (cancel anytime)
    • Includes 2 hours of AI transcription
    • Required for ICF BARS
    • More cost-effective if you transcribe 2 hours per month or more
  • $1 USD = 1 RaeNotes credit.
